Administration Assistant

Geelong Motors Pty Ltd is seeking an experienced and organised Administration Assistant to join our growing team.

About Us

Geelong Motors is an award-winning dealership known for delivering exceptional customer service and premium vehicles. We specialise in new and used vehicle sales, servicing, and parts across two franchises, Mercedes-Benz and BYD – catering to a diverse and growing customer base.

The Role

As an Administration Assistant, you will play a key role in supporting our Administration and Sales teams by processing deals and managing documentation efficiently. This is a great opportunity to contribute to the smooth operation of a fast-paced dealership.

Key Responsibilities

·        Provide clerical and administrative support for our two franchises

·        Assist our Vehicle Stock Controller with VicRoads registrations and ownership transfers

·        Process vehicle sales documentation accurately into our Dealer Management System

·        Liaise with lease company representatives to supply required documentation

·        Processing compliance records (e.g. privacy consents)

·        Perform general office duties, including filing, scanning, and data entry

·        Ensure seamless client handovers by effectively communicating between the Administration and Sales teams

About You

·        Proven experience working in an administrative role, preferably within the automotive industry

·        Experience with dealership management systems (e.g., Auto-IT, Pentana, Reynolds & Reynolds) is advantageous

·        Familiarity with VicRoads systems – highly regarded

·        Proficient in Microsoft Office (Word, Excel, Outlook)

·        Strong time management and organisational skills

·        High level of accuracy and attention to detail

·        Excellent communication and interpersonal skills

·        Ability to work independently and collaboratively
